These Terms of Service ("Terms") govern access to and use of Equipment-Hub (the "Service"), operated by Equipment-Hub ("we," "us"). By creating an account or using the Service, you agree to these Terms on behalf of yourself and the business you represent.
Equipment-Hub is a business tool for tracking equipment location, status, and history — including QR/barcode scanning, location logging at the time of each scan or edit, bulk import, and an audit trail. It is not a continuous GPS tracking system; location is recorded when your team scans or updates an item, not on an ongoing basis. It also supports reserving a piece of equipment for an upcoming customer before it's delivered, and connecting your own third-party CRM (such as HouseCall Pro) using your own API key.
The person who signs up becomes the first administrator of their company's account. Administrators can invite additional team members and assign them roles. Each company's data is isolated from every other company using the Service. You are responsible for the accuracy of information your team enters, and for keeping login credentials confidential.
If you choose to connect a third-party CRM (such as HouseCall Pro) to your account, you're authorizing us to access that CRM's API on your behalf, using the API key you provide, solely to power the features you enable within Equipment-Hub. You're responsible for having the right to share that API key with us, and for your own compliance with that CRM provider's terms of service. You can disconnect a CRM at any time from your account settings, which stops any further use of that key.
Some CRM providers require a specific subscription plan on their end before they'll let you generate an API key at all — for example, HouseCall Pro requires their MAX or XL plan. Any fees, plan requirements, or upgrade costs imposed by your CRM provider are between you and that provider; Equipment-Hub does not control, receive, or add to them. Equipment-Hub does not charge extra for connecting or using a CRM integration.
You agree not to:
Requesting access to the demo requires your name, email address, and explicit consent to receive marketing communications from us (such as product updates and promotional emails). Every marketing email includes a way to unsubscribe, and you can also withdraw consent at any time by contacting us — see our Privacy Policy for details on how this information is used and stored.
Paid plans are billed through Stripe, our payment processor — we never see or store your card details directly. Subscriptions renew automatically each billing period (monthly or annual) until cancelled. You can cancel at any time by contacting us; your access continues through the end of the period you've already paid for, and we don't provide refunds for partial periods. Pricing shown on the marketing site reflects current rates and may change with notice.
Each plan includes a set number of team member seats and a specific feature set, both shown on the pricing page at the time you sign up. Once a plan's seat limit is reached, inviting additional team members requires upgrading to a plan with more capacity. Some features (for example, connecting a third-party CRM) are only available on specific plans.
You retain ownership of the equipment, team, customer, and location data you enter into the Service. We use it only to provide the Service to you, as described in our Privacy Policy. You're responsible for having the right to enter any customer or third-party information (such as job-site addresses or contact names) you record.
You may stop using the Service at any time; contact us and we'll help you export your data before closing your account. We may suspend or terminate access for violation of these Terms, non-payment, or misuse (including abuse of the shared demo account).
Template note — review with counsel. The Service is provided "as is" without warranties of any kind. To the fullest extent permitted by law, we are not liable for indirect, incidental, or consequential damages, including loss of data or lost equipment, arising from use of the Service. Set an appropriate liability cap for your risk tolerance before relying on this section.
We may update these Terms from time to time. Continued use of the Service after a change constitutes acceptance of the updated Terms.
These Terms are governed by the laws of the Province of Ontario, Canada, without regard to conflict-of-law principles. Any disputes arising from these Terms or your use of the Service will be subject to the exclusive jurisdiction of the courts of Ontario.
